Background
Peace Parks is a non-profit conservation organisation that specialises in conservation at scale through the development of Transfrontier Conservation Areas and the long-term management of key protected areas, in partnership with government conservation agencies and communities within these landscapes. We currently focus on the development of five priority transboundary landscapes measuring over 65 million hectares throughout southern Africa, and the co-management of ten national parks and protected areas covering over 5.2 million hectares.
Job Purpose
To provide administrative support to the Greater Limpopo Transfrontier Conservation Area – Mozambique Project.
Duties and Responsibilities
Coordination of meetings, workshops and training
- Organise and schedule meetings and logistics (including travel arrangements, accommodation, venues, and catering);
- Record and distribute minutes of meetings, keep attendance registers;
- Follow vetting procedures timeously in line with donor requirements.
Procurement and financial administrative management
- Manage petty cash and expense claims for project staff and APCOCs, ensuring they are recorded and processed;
- Obtain quotations of items to be procured, follow procurement processes in line with donor requirements;
- Process payments according to the Peace Parks financial management system;
- Maintain an accurate procurement tracker for the project;
- Draft service-level agreements.
Reporting
- Draft reports required and obtain information from sub-grantees, service providers, and staff when required to compile reports.
Asset management
- Keep a record of all assets purchased by the project;
- Assist with deeds of donations and carrying over of assets to relevant organisations;
- Assist with an asset audit when required;
- Manage the insurance of assets when required;
- Manage the vehicle fleet of the project: logbooks, fuel management, servicing, licensing and processing claims.
Support project staff
- Assist with travel arrangements for project staff through Peace Parks travel office;
- Provide administrative support to the Project Manager and Financial Controller handling ad hoc tasks as required;
- Keep time sheets of all project staff;
- Assist project staff with claims.
Minimum Requirements
- Diploma or certificate in administration or related field;
- Valid driver’s licence;
- At least three years’ experience in a similar role;
- Excellent proficiency in MS office;
- Fluency in written and spoken Portuguese and English;
- Experience managing assets, petty cash and procurement, and coordinating meetings/workshops;
- Excellent communication and report writing skills;
- Ability to organise, work independently and be proactive with a solution-oriented mindset;
- Experience working for an NGO will be an added advantage;
- Preference will be given to Mozambican nationals;
- Occasional travel to remote areas in Mozambique will be required.
